Procedures: Items, Sales view

This document contains instructions regarding work in the Sales view, in the Items application. The instructions describe steps necessary to perform in order to, e.g., create and edit sales data. Furthermore, this document will inform you about the  expected preconditions and effects.

This document only describes the procedures relevant to the Sales view.   Other procedures such as creating a new item by duplication, for instance, are  not covered in this document.  For more information on them, refer to  Procedures: Items.  

Add sales item

Note
It must be ensured in case of variant items that the related reference item has  sales data and that they are not marked for deletion.

Note
In the Sales view,

  • it is not possible to create alias items, since only data in Base view is used for them.
  • externally manufactured items cannot be created. 

Preconditions

In a multi-site or single-site environment, the selected organization must be a sales organization. It is also necessary to activate the content-based authorizations in Customizing, in Base view. Furthermore, only the users assigned to the organization responsible for the item can generate new utilizations for an item.

Instructions

  1. Open the Items application and switch to Sales view.
  2. Open the item you want to enter as sales item.
  3. If required, change the usage status of the sales item in the work pane  under General tab.  You can choose between Released and Blocked  statuses.
  4. Select a classification type Sales item classification 1 in the  Classifications grouping in Classification 1 field.
  5. If required, fill out the other fields with the desired sales data.
  6. Click the [Save] button in the standard toolbar.

Delete sales item

Sales items are not deleted directly and must first be marked for deletion. Only  those versions of sales items that have their entire validity period in the future  can be deleted directly, since they have not been used yet.

Note
If the sales data of a reference item for a certain organization is marked for  deletion, the variant items for this organization are also marked for deletion.

Mark sales item for deletion

Preconditions

The sales item has not been marked for deletion yet.

Instructions

  1. Open the Items application and switch to Sales view.
  2. Open the sales item which has to be deleted.
  3. In a multi-site environment, select the organization for which you are  editing the item.
  4. Click on [Mark for deletion] in the standard toolbar.
Note
If a warning dialog window opens, more than the currently opened data are  affected.  This always happens if a reference item or several organizations are affected. In such case, [Unmark for deletion] does not completely remove the mark for  deletion from all affected data.
  • A warning dialog window opens if more than the opened sales data are  affected by the action.

5. Confirm the warning if you really want to mark the sales item for deletion.

Note

The sales data contains a mark for deletion in all versions.  If the (active OLTP)  client is selected in a multi-site environment, the sales item gets marked for deletion for all organizations. If a reference item is involved, all the variant  items generated from this item also get marked for deletion.

Delete sales item deletion mark

Preconditions

The sales item is marked for deletion. In a variant item the mark for  deletion of a sales item can be removed only if the sales data of the related  reference item has not been marked for deletion.

Instructions

  1. Open the Items application and switch to Sales view.
  2. Select the sales item for which deletion mark is supposed to be deleted.
  3. In a multi-site environment, select the organization for which you are  editing the item.
  4. Click on [Unmark for deletion] in the standard toolbar.
    • Deletion flag will be removed from the sales item.
Note

In a multi-site environment: Even if the selected organization is an (active OLTP) client, the mark for deletion is removed only for the selected organization.

Note
Unmarking a reference item for deletion does not affect the mark for deletion of a related variant item.

Delete a sales item version

Preconditions

A sales item version, that will be valid only in the future, exists.

Instructions

  1. Open the Items application and switch to Sales view.
  2. Open the sales item whose future version you want to delete.
  3. In a multi-site environment, select the organization for which you are  editing the item.
  4. Using [Next] and [Back] buttons browse in the Valid from field and switch  to a future version of the sales item to be deleted.
  5. Click on the [Delete] button on the standard toolbar.
  • The new sales item version will be deleted.
Note
By deleting a future version, the validity period of the previous version is correspondingly extended.

Create new sales item version

Preconditions

In order to generate a new version, it is important for the item to have sales data. In a multi-site environment, the selected organization should have  accepted the data processing.   In the Sales view, you can generate a new  version for items of following material types:

  • Inventory item
  • Storage unit
  • Variant item

Instructions

  1. Open the Items application and switch to Sales view.
  2. Open the item from which you would like to create a new version.
  3. In a multi-site environment, select the organization for which you are editing the item.
  4. Click on [New version] button on the standard toolbar.
  • A new version of the sales item will be generated.

5. Enter a future date from which the sales item will be valid in the Valid  from field.

6. Click the [Save] button in the standard toolbar.

  • The new sales item version will be saved.

7. Change the usage status of a sales item

You can change the usage status of a sales item by either releasing or blocking  it.

Note
In a multi-site or single-site environment with activated Content-related  authorizations, a block set for the client is valid for all organizations.

Instructions

  1. Open the Items application and switch to Sales view.
  2. Open the sales item whose usage status is to be changed.
  3. In a multi-site environment, select the organization for which you are editing the item.
  4. Change the value of the Usage status field to Released or Blocked.

In case of a block, enter a future date, until which the sales item cannot be  used, in the Blocked till field.

5. Click the [Save] button in the standard toolbar.

Note
If a sales item is blocked though the usage status is released, please verify  missing data for Value-added tax classification and Revenue account  classification in the Financials view.  The financials data of the firm responsible for the selected organization must be verified in a multi-site environment.
