Procedures: Set up sales representatives

This document describes the procedures for creating a user as sales representative in the System cockpit application.

Creating a new user

Preconditions

You require administrative authorizations to carry out this step.

Instructions

  1. Open the System cockpit
  2. Select the User
  3. Click [New] on the standard toolbar. The system displays fields to enter a user.
  4. Enter an identification for the new user.
  5. Enter a description in the Description
  6. Enter the complete full name and e-mail address under the Editor
  7. Click on [Save] in the standard toolbar.

Assigning a user to a system

Preconditions

You require administrative authorizations to carry out this step.

Instructions

  1. Open the System cockpit
  2. Select the System
  3. In the Name field, select the system you want to assign to the new user.
  4. Switch to the lower tab User assignments.
    A table displays all users currently assigned to the system.
  5. Select the [New] button in the User assignments
    This adds a new empty row to the table.
  6. Enter the user’s identification in the table’s User
  7. Select the Employee setting for an internal sales representative or Business partner setting for an external sales representative in the License type field of the table rows.
  8. Select Full access setting in the Access mode field in the table rows.
  9. Click on [Save] in the standard toolbar.

Creating a partner as representative

Preconditions

You must be assigned to the relevant organizations for this procedure.

Instructions

  1. Open the Partners application in the Base
  2. Click on [New person] option in the standard toolbar under [New] button.
  3. Specify the identification of the new partner in the Partner
  4. Click the diamond-shaped button ([Additional data]) next to the Name field and enter the name of the sales representative.
  5. In the Organization responsible field, select the organization for which the sales representative must work.
  6. Activate the Sales representative function in the General
  7. Click on [Save] in the standard toolbar.

Assigning a representative to a sales organization

Instructions

  1. Open the Sales representative logon authorizations
  2. Click [New] on the standard toolbar.
    The system displays a new row in the work pane table.
  3. Place the cursor in the Sales representative field in the new table row and enter the new representative’s identification.
  4. Switch to Sales organization responsible field and enter the sales organization’s identification there.
  5. Click on [Save] in the standard toolbar.

Assigning a user with license type Business partner to the sales representative

  1. Open the Partners application in the Base
  2. Enter the sales representative’s identification here, if required.
  3. Click [Refresh] on the standard toolbar.
    The system displays the representative in the work pane.
  4. Place the cursor in the Organization responsible Enter in this field the identification of the organizations for which the representative is to be authorized.
  5. Switch to the User account
  6. Click on [New] on the standard toolbar of the User account
    This adds a new row to the work pane table.
  7. Enter the identification of the user of Business parnter type just created in the User field of the new table row.
  8. Click on [Save] in the standard toolbar.
Note
A user can be assigned only to one business partner.

Assigning a user with license type Employee to the sales representative

  1. Open the Partners application in the Base
  2. Enter the sales representative’s identification here, if required.
  3. Click [Refresh] on the standard toolbar.
    The system displays the representative in the work pane.
  4. Place the cursor in the Organization responsible Enter in this field the identification of the organizations for which the representative is to be authorized.
  5. Switch to the User account
  6. Click on [New] on the standard toolbar of the User account
    This adds a new row to the work pane table.
  7. Enter the identification of the user of Employee type just created in the User field of the new table row.
  8. Click on [Save] in the standard toolbar.
