Procedures: Partners, Employee view

Topic overview

This article describes the procedures for handling the Employee view in the Partners application. For instance, the procedures contain instructional steps for creating or editing an employee. Data in the Employee view can only be defined for partners of the Person category.

Create a new employee

Preconditions

Only the users assigned to the organization responsible for the partner can generate new partner roles.

Instructions

  1. Open the Partners application
  2. Open the partner to be entered as an employee
  3. If required, change the utilization status of the employee in the work pane under the Employee data tab. Available statuses include Released and Blocked.
  4. Select an employee classification in the Classification 1 field
  5. If required, it is possible to switch to the Base view and enter, e.g. communication connections data

Delete an employee

Employees are not deleted directly and must first be marked for deletion. Only those versions of the employee that have their entire validity period in the future can be deleted directly, since they have not been used yet.

Set a deletion flag for an employee

Preconditions

The employee has not been marked for deletion yet.

Instructions

  1. Open the Partners application and switch to the Employee view
  2. Open the employee to be marked for deletion
  3. Click [Mark for deletion] in the standard toolbar
  4. Confirming the warning marks the employee for deletion and saves the employee data
Note
The employee contains a deletion flag in all versions.

Remove a deletion flag for an employee

Preconditions

The employee has been marked for deletion.

Instructions

  1. Open the Partners application
  2. Open the partner to be unmarked for deletion
  3. Switch to the Employee view
  4. Click [Unmark for deletion] in the standard toolbar

The deletion tag will be removed from the employee.

Delete an employee version

Preconditions

An employee version exists that will be valid only in the future.

Instructions

  1. Open the Partners application and switch to the Employee view
  2. Open the employee whose version is to be deleted.
  3. Using the [Next] and [Back] buttons, browse through the Valid from field and switch to a future version of the employee to be deleted
  4. Click the [Delete] button in the standard toolbar. The selected version of the employee will be deleted.
Note
By deleting a future version, the validity period of the previous version is correspondingly extended.

Create a new version of an employee

Preconditions

In order to generate a new version, it is important for the partner to be an employee.

Instructions

  1. Open the Partners application and switch to the Employee view
  2. Open the partner of which a new version is to be created
  3. Click [New version] in the standard toolbar. A new version of the employee will be generated.
  4. Enter a future date from which the employee will be valid in the Valid from
  5. Click the [Save] button in the standard toolbar. The new version of the employee will be saved.

Change the utilization status of an employee

The user can change the utilization status of an employee by either releasing or blocking this employee.

Instructions

  1. Open the Partners application and switch to the Employee view
  2. Open the employee whose utilization status is to be changed
  3. Change the value of the Employee Status field to Released or Blocked
  4. In the case of a block, enter a future date, until which the employee cannot be used, in the Blocked until
  5. Click the [Save] button in the standard toolbar. The new status of the employee will be saved.
