Customizing: Intrastat

Intrastat funcion

The Intrastat function can be found under the Customizing application. It is used to activate and deactivate the Intrastat framework as well as customize individual framework functions.

Note
The Intrastat framework can be activated:

  • after installing a dedicated application
  • for an organization of Company type.

The application consists of a query pane and a work pane.

Customizing application: Intrastat function

Query pane

The query pane presents the function information, it is used to activate it or apply the OLTP client data.

Available fields:

  • Function – function name: Intrastat
  • Relevant for – provides information on the frameworks a specific function affects or to which it applies. The Intrastat function affects main company/company/database.
  • Use OLTP client data – parameter editable for an organization of Company type only. If selected, the customizing settings from the main company are retrieved.
  • Active – activates the framework for the selected organization of Company type.
Hint
Organizations can be changed in the application’s main toolbar using a drop-down list. Organization settings are defined in the Organizations application.

Work pane

The application work pane contains additional settings regarding the capabilities of the Intrastat framework as well as the framwork information. Following tabs are available in the work pane:

  • Settings
  • Information

Settings tab

Fields available in this tab:

  • Encoding type – specifies the mappings of region codes. Values are retrieved from the Encoding types application
  • Weight unit – allows entering a weight unit used in declarations if the unit selected in the document does not exist in the system
  • Include service (applies to Italian Intrastat declarations only) – if selected, an item of Service type can then be included in the calculation of Intrastat declaration proposition. Selecting it activates an additional section Service intrastat data on partner chart under the Customer and Supplier views after selecting the Intrastat extension to provide a collection term and service providing terms.
Note
The parameter cannot be deactivated if a declaration proposition with an item of Service type was generated in the system.
  • Incoterms required – if selected, only a delivery code tagged as Incoterms can then be selected in the Incoterms field available in the line item item editor in the Intrastat declaration propositions application
  • Number of displayed line items – specifies the limit of line items displayed in a declaration proposition. The default value is 500 items. The maximum value is 1000.

Generation Intrastat declaration propositions settings section

Parameter available in this section:

  • Disable rounding – selecting it disables rounding to a whole number of statistical value, net weight, invoice value and supplementary unit when generating a declaration proposition. Activating it hides additionally the option of selecting a separation mark displayed in csv formats because a semicolon is set as the default value.

Criteria for the generation of correction declaration propositions section

In this section you can define the criteria for creating a declaration correction. Available fields:

  • Invoice value – in this field you can specify an acceptable difference of the invoice amount between the original declaration and the declaration correction
  • Statistical value – in this field you can specify an acceptable difference in the invoice amount between the original declaration and the declaration correction
  • Net weight – in this field you can specify an acceptable percentage difference in the weight between the original declaration and the declaration correction
  • Supplementary unit – in this field you can specify an acceptable percentage difference in the specified unit between the original declaration and the declaration correction

Information tab

This tab presents the application details. The available fields are not editable.

  • App – application name
  • Development object – name of the application’s development object
  • License keys – full technical name of the license key
  • Changed by – ID of the user who last changed the settings
  • Changed on – last change date and time

DEB File function

The DEB File function is available under Customizing -> Intrastat. DEB files are generated for the Intrastat purposes for Italy to make it possible to import them correctly into an external system.

The application consists of a query pane and a work pane.

Query pane

The query pane presents the function information, it is used to activate it or apply the OLTP client data. Available fields:

  • Function – name of a currently open function
  • Relevant for – provides information on the frameworks a specific function affects or to which it applies
  • Use OLTP client data – parameter editable for an organization of Company type only. If selected, the customizing settings from the main company are retrieved.
  • Active – activates the framework for the selected organization of Company type

Work pane

The application work pane contains additional settings and information regarding the Intrastat framework. Following tabs are available in the work pane:

  • Settings
  • Information

Settings tab

Field available in this tab:

  • Number range of reference number of the List – a scheme form numbering newly created objects. The value is retrieved from the Number ranges application for a specific type and transferred directly into a .csv file as described in the article File for external software.

Information tab

This tab presents the application details. The available fields are not editable.

  • App – application name
  • Development object – name of the application’s development object
  • License keys – full technical name of the license key (the license key name for the DEB File function is provided under the Intrastat function)
  • Changed by – name of the user who changed last the settings
  • Changed on – last change date and time
