Procedures: Inventory requisitions

This article describes the procedures for using the Inventory requisitions application. The procedures contain instructions on how to add or edit an inventory requisition, for example. It also informs about possible preconditions and effects

Procedures

Read below how to work with the Inventory requisitions application.
The following procedures are available in the Inventory requisitions application:

Creating a new inventory requisition

  1. Open the Inventory requisitions application
  2. Open the Manual inventory movement view. You can only enter an inventory requisition in this view.
  3. Enter an inventory requisition category in the Number field using Manual inventory movement
  4. Select the [New] button in the standard toolbar
    The specified inventory requisition category is validated. After a successful validation, the application switches to New mode. A new identification from the number range used for the inventory requisition is displayed in the Number field. Default values are determined for the fields in the identification pane.
  5. If required, enter a descriptive text in the Text field
  6. Enter the required item or loading unit line items in the line item editor
  7. Select the [Save] button in the standard toolbar
    The system validates the data entered. If the validation is successful, the inventory requisition is saved. If the validation is not successful, a corresponding error message is displayed.

Duplicating an inventory requisition

  1. Open the Inventory requisitions application
  2. Enter the identification of the inventory requisition you wish to duplicate in the Number field and display it
    Note
    You can only duplicate inventory requisitions with the Manual inventory movement usage.
  1. Select [Duplicate header] button in the standard toolbar.
    The application switches to New mode. A new identification from the number range used for the inventory requisition is displayed in the Number field. Today’s date is displayed as the default value in the Creation date field.
  1. Change the values in the input fields if necessary
  2. Enter the required item or loading unit line items in the line item editor
  3. Select the [Save] button in the standard toolbar
    The system validates the changed and newly entered data. If the validation is successful, the inventory requisition is saved. If the validation is not successful, a corresponding error message is displayed.

Querying and editing inventory requisitions

Preconditions

You can only edit inventory requisitions with the Manual inventory movement usage. In addition, you can only change the data of an inventory requisition line item as long as it has not been completed.

It is recommended that you do not change the basic data of the inventory requisition after inventory orders have been generated from the inventory requisition, as such changes are not subsequently entered in the inventory orders. Instead, complete the inventory orders without confirmation and enter a new inventory requisition. You can also delete the inventory requisition as long as no completed inventory orders exist for the inventory requisition.

Instructions

  1. Open the Inventory requisitions application
  2. In the Number field, enter the identification of the inventory requisition that you want to query and edit
  3. Select the [Refresh] button in the standard toolbar
    The specified identification is validated. After a successful validation, the specified inventory requisition is opened and displayed.
  1. If necessary, change the values in the input fields. The identification cannot be changed retrospectively. You can change the inventory requisition line items using the line item editor.
  2. Select the [Save] button in the standard toolbar
    The changed inventory requisition data is validated. After a successful validation, the inventory requisition is saved. If the validation is not successful, a corresponding error message is displayed.

Deleting an inventory requisition

Preconditions

You can only delete inventory requisitions for which no inventory orders exist.

If an inventory requisition has only been partially executed and is no longer to be processed, you can complete it by deleting the line items for which no inventory order line items exist and reducing the quantity of partially processed line items to the quantity transported.

Instructions

  1. Open the Inventory requisitions application
  2. Enter the identification of the inventory requisition you wish to delete in the Number field
  3. Select the [Refresh] button in the standard toolbar
    Once the identification has been successfully validated, the specified inventory requisition is opened and displayed.
  1. Select the [Delete] button in the standard toolbar
    A dialog window with a confirmation prompt opens.
  1. Confirm the deletion process by selecting Yes
    The system validates whether the inventory requisition may be deleted. If the validation is successful, the inventory requisition is deleted. If the deletion validation is not successful, a corresponding error message is displayed.

Creating an inventory requisition line item

Note
You can only enter a new line item for inventory requisitions using Manual inventory movement.
  1. Open the Inventory requisitions application
  2. In the Number field, enter the identification of the inventory requisition for which you want to enter a line item
  3. Select the [Refresh] button in the standard toolbar
    The system validates the specified identification. After a successful validation, the specified inventory requisition is opened and displayed.
  1. Depending on the type of line item you want to enter, select either the [Create new item line item] or the [Create  loading unit line item] button in the line item editor.
    The fields in the line item editor are prepared for input.
  1. Enter the desired characteristics of the new inventory requisition line item in the line item editor
  2. Press the enter key or select the [Accept] button in the header of the line item editor to transfer the new inventory requisition line item to the table.
  3. The new inventory requisition line item is transferred to the line item table. If the inventory requisition line item could not be transferred, a corresponding error message is displayed.
  4. Select the [Save] button in the standard toolbar.
    The inventory requisition data is validated. If the validation is successful, the new inventory requisition line item is saved with the inventory requisition. If the validation of the data is not successful, a corresponding error message is displayed.

Deleting an inventory requisition line item

Preconditions

You can only delete inventory requisition line items for which no inventory order line items exist.

If a requested inventory movement has only been partially executed and the corresponding inventory requisition line item is no longer to be processed, you can complete the line item by reducing the quantity of the line item to the quantity transported.

Instructions

  1. Open the Inventory requisitions application
  2. Enter the identification of the inventory requisition for which you want to delete the inventory requisition line item in the Number field
  3. Select the [Refresh] button in the standard toolbar
    The system validates the identification. After a successful validation, the specified inventory requisition is opened and displayed.
  1. Select the inventory requisition line item to be deleted in the line item list
  2. Select the [Mark for deletion] button in the line item editor toolbar
    The inventory requisition line item is marked for deletion.
  1. Select the [Save] button in the standard toolbar.
    The system validates whether the line item with the deletion marker can be deleted. If the validation is successful, the inventory requisition is saved and all line items with a deletion marker are removed from the database. If the validation is not successful, a corresponding error message is displayed.

Creating inventory orders (action)

Preconditions

To be able to create inventory orders, the inventory requisition must have the status Inventory requisition created and be saved in the database. In addition, the inventory management server responsible for the warehouse must be active.

Instructions

  1. Open the Inventory requisitions application
  2. Open the inventory requisition for which you want to generate inventory orders
  3. Select the [Generate inventory order] action in the standard toolbar
    The system validates whether inventory orders can be generated for the inventory requisition. If the validation is successful, inventory orders are generated. If the validation is not successful, a corresponding error message is displayed.
Note
Inventory orders are always generated via the inventory management server. This always runs as a background application, which means that the generation of inventory orders can be delayed.

Assigning storage locations (action)

Preconditions

This action is only available for inventory requisitions of the Put-away category if the user is allowed to open the business entity Storage location assignment (com.cisag.app.inventory.obj.StorageAssignment). Storage location assignments can only be saved for inventory requisition line items that have neither warehouse zone nor storage location specifications.

Instructions

  1. Open the Inventory requisitions application
  2. Open the inventory requisition to which you want to assign storage locations
  3. Select the [Assign storage locations…] action in the standard toolbar
    A dialog window opens in which all inventory requisition line items are displayed to which storage locations can be assigned via storage location assignments.

  1. Assign storage locations to the inventory requisition line items
  2. Once the storage location assignment has been completed, close the dialog window with the [Close] button.
