Cockpit: Voucher Analysis

Topic overview

The Cockpit: Voucher analysis is not primarily intended as a stand-alone application, but as a follow-up application to the application Defined reports query to quickly and easily access the document details of the respective row and column values of statements and reports from financial accounting and controlling. It is usually called up from the application Defined reports query by clicking the right mouse button on the column values, and the underlying parameters are then automatically transferred.

Nevertheless, it was listed as an independent cockpit in the accounting applications, as it enables the vouchers to be viewed to be called up in a targeted manner if the selection criteria are known or available, without having to call up the application Defined reports query before.

This document describes the fields and functions of the Cockpit: Voucher analysis.

Application description

With the application Cockpit: Voucher analysis, you can display detailed information from defined reports from controlling and financial accounting. The origin is indicated for the basis of the selected row scheme in the upper viewing window. The application is based on the BO ReportHeader.

With the help of the Cockpit: Voucher analysis application, you can get an overview of all or individual selected documents and their essential posting information. The application consists of a query pane and a work pane.

Query pane

Query fields are recorded in the query pane. Usually the most important query fields are already available. When calling this cockpit from Defined reports query, the fields are already defaulted; when calling the cockpit as a standalone application, the query fields must be filled.

All essential query fields are listed below.

Standard query fields
  • Row scheme – the name identifies the row scheme. You can assign names using either numbers or letters.
  • Column scheme – the name identifies the column schema. You can assign names using either numbers or letters.
  • Row number– enter the row number that is to be evaluated here.
  • Column number– enter the column number that is to be evaluated here.
  • Accounting standard– accounting standards are used to evaluate and present the financial accounting according to various accounting regulations (e.g. in the HGB the depreciation regulations are different than in the IAS, which leads to different valuations in the balance sheet and a different profit and loss). If an accounting standard is specified in a posting, the values are only posted in this accounting standard. If necessary, enter the accounting standard as a search criterion.
  • Internal currency – enter the internal currencies that should be evaluated here.
  • Type of time frame– period used in the posting.
  • Additional organizational units– enter here the organizational units you also want to evaluate.
  • Analysis period– analysis period with which the analysis period is determined. In this field you can enter a start month for the selection of the dates. The data will not be displayed before the start month entered here.
  • Dimension type – if a row scheme for optional dimensions has been selected above, the assigned dimension type can be selected here for the selected row scheme.
  • Output zero values – balances with value zero are only displayed on request.
  • Without column / assignment selection – determination of whether the column / assignment selection should be taken into account.This parameter is only useful if information has been made in the columns in the field Select assignments. If this parameter is set, the assigned elements (e.g. cost types, object accounts) are assigned to all columns. Otherwise, each value of an assignment is checked to determine which column it should be assigned to.
  • In the drop-down area there are two tabs with detailed information about the account and the dimensions.
Tab Accounts

Only this register is activated for row schemes from the area of Financial accounting; the Dimensions tab is deactivated.

The fields in detail:

  • Accounting code – account information for the account, depending on the accounting code, a customer, vendor or object account is saved here. Explanatory name of the accounting code.

Tab Dimensions

Only this register is activated for row schemes from the area of Controlling; the tab Accounts is deactivated.

The fields in detail:

  • Optional dimension – usually cost units
  • Use classification 1st assignment – in this field you specify whether optional dimensions are selected individually or via a classification. The following settings are available:
    • Without classification
    • With classification 1
    • With classification 2
    • With classification 3
    • With classification 4
    • With classification 5

If you select Without classification, the optional dimension stored is selected for report evaluations. When selecting a classification, all optional dimensions that are assigned to the stored node within the classification tree are selected for report evaluations.

  • Classification 1st assignment– if one of the classifications from 1 to 5 has been selected in the field Use classification 1st assignment, enter a node from the corresponding classification in this field. Only the optional dimensions of the 1st assignment that are assigned to this node in the tree are processed.
  • Cost type– cost types are the most important posting information in controlling. Costs and revenues, quantities, prices and ratios are represented by cost types.
  • Use classification cost types – in this field you specify whether cost types can be selected individually or via a classification. The following settings are available:
    • Without classification
    • With classification 1
    • With classification 2
    • With classification 3
    • With classification 4
    • With classification 5

If you select Without classification, the stored cost type is selected for report evaluations. When selecting a classification, all cost types that are assigned to the stored node within the classification tree are selected for report evaluations.

  • Classification cost types – if one of the classifications from 1 to 5 has been selected in the field Use classification cost types, enter a node from the corresponding classification in this field. Only the cost types that are assigned to this node in the tree are processed.
  • 2nd assignment– if the value Without classification has been selected in the field Use classification 2nd assignment, enter an optional dimension in this field.
  • Use classification 2nd assignment– in this field you specify whether optional dimension of the second assignment can be selected individually or via a classification.The following settings are available:
    • Without classification
    • With classification 1
    • With classification 2
    • With classification 3
    • With classification 4
    • With classification 5

If you select Without classification, the stored optional dimension is selected for report evaluations. When selecting a classification, all optional dimensions that are assigned to the stored node within the classification tree are selected for report.

  • Classification 2nd assignment – if one of the classifications from 1 to 5 has been selected in the field Use classification 2nd assignment, enter a node from the corresponding classification in this field. Only the optional dimensions of the 2nd assignment that are assigned to this node in the tree are processed.
  • Posting period until – end of the associated posting period.
  • Balance– the balance reflects the portfolio of an account.

Depending on the type of row scheme type for the row scheme specified above in the selection fields, different table columns are displayed for schemes from the Controlling and Financial Accounting areas:

The tab fields in detail:

  • Account – account to which the selection criteria apply
  • Classification individual characteristics for the cost type can be defined and evaluated within the classifications.
  • Posting period from start of the associated posting period.
  • Posting period until end of the associated posting period.
  • Balance the balance reflects the portfolio of an account.
  • Foot line
  • Balance the balance reflects the portfolio of an account.

View Cost types

The tabular listing of vouchers in row schemes of optional dimensions can be called up in two views.

The table fields of the view Cost types are described in detail below:

  • Cost type – specification of the first optional dimension.
  • Classification – cost types If one of the classifications from 1 to 5 was selected in the field Use cost types classification, enter a node from the relevant classification in this field. Only the cost types that are assigned to this node in the tree are processed.
  • First optional dimension – in this field you can make a selection of the optional dimensions that should be displayed. The selection criterion is the code of the first optional dimension.
  • Classification 1st assignment – if one of the classifications from 1 to 5 has been selected in the field Use classification 1st assignment, enter a node from the corresponding classification in this field. Only the optional dimensions of the 1st assignment that are assigned to this node in the tree are processed.
  • 2nd assignment – specification of the second optional dimension.
  • Classification 2nd assignment – if one of the classifications from 1 to 5 has been selected in the field Use classification 2nd assignment, enter a node from the corresponding classification in this field. Only the optional dimensions of the 2nd assignment that are assigned to this node in the tree are processed.
  • Posting period from – start of the associated posting period.
  • Posting period until – end of the associated posting period.
  • Balance – the balance reflects the portfolio of an account.

View Optional dimensions

The tabular listing of vouchers in row schemes of optional dimensions can be displayed in two views.

  • First optional dimension – specification of the first optional dimension.

Only the optional dimensions of the 1st assignment that are assigned to this node in the tree are processed.

  • Classification 2nd assignment – if one of the classifications from 1 to 5 has been selected in the field Use classification 2nd assignment, enter a node from the corresponding classification in this field. Only the optional dimensions of the 2nd assignment that are assigned to this node in the tree are processed.
  • Classification cost types – if one of the classifications from 1 to 5 has been selected in the field Use classification cost types, enter a node from the corresponding classification in this field. Only the cost types that are assigned to this node in the tree are processed.
  • Posting period from – start of the associated posting period.

The cockpit action Show balances can only be called when selecting an item and branches to the Cockpit: Financial accounting and automatically absorbs the corresponding selection values.

Customizing

No settings are to be specified for the Cockpit: Voucher analysis application in the Customizing application.

Authorizations

Authorizations can be assigned by means of authorization roles as well as by assigning an organization. The authorization concept is described in the technical documentation Authorizations.

Special capabilities

The Cockpit: Voucher analysis application has no special capabilities.

Organizational assignments

Organizational structures are used to control which data is visible, usable or editable. To do this, the Content-related Authorizations function must be activated in the Customizing application.

To ensure that a person can see the Defined reports query application in the user menu and can open it, the user must be assigned to an organization that is connected to one of the following organization structures:

  • Financial accounting

There are no special features for the Cockpit: Voucher analysis application.

Authorizations for business partners

The Cockpit: Voucher analysis application is not released for business partners.
