Cockpit: Number usage

Topic overview

Number ranges are required for an automatic number allocation by the system. In these number ranges, the parts that make up the number, its length, and the last issued number are specified in order to be able to determine the next free number.

The Cockpit: Number usage application is described below. In this application, you will find an overview of the existing number ranges and, in particular, the numbers used therein and their status within Financial Accounting. For num- bers with the Used status, you can display the posting details and view details of the posting.

The Number usage cockpit is a customizable cockpit and can be flexibly adapted to every single user. For a detailed description of customizable cock- pits, refer to the article Cockpits.

Definition of terms

Number range

A number range contains the conditions for automatic assignment of numbers that are used for identifying objects. For example, a number range for auto- matic assignment of identifications for partners can be defined. For the voucher identification that consists of a voucher type and a number, a number range is also used for automatic assignment of a number. In such number ranges, the voucher line item numbers are specified as well.

Application description

All number ranges meeting the search criteria and their used, free or reserved numbers are displayed. Numbers with the Free status are pre-reserved blockweise by the system; numbers with the Reserved status are assigned, but not ultimately saved.

The application consists of a query pane and a work pane.

Query pane

Query fields are placed in the query pane. The most important query fields are usually already present. However, the number of query fields and their place- ment can vary. You can determine which query fields are displayed.

All query fields are listed below. Detailed description of the extended identifica- tion pane fields:

  • Number range – here, enter the number range(s) to be processed. No entry means that all number ranges will be analyzed.
  • Number – here, enter the number(s) of the number range to be processed. No entry means that all numbers will be analyzed.
  • Status number range – valid status values of the number range are:
    • (All)
    • Free 
    • Reserved 
    • Used
  • Change time point – here, enter the change date that is to be taken into account. No entry means that the data are evaluated notwithstanding the change date.
  • Voucher date – here, enter the voucher date that is to be taken into account. No entry means that the data are evaluated notwithstanding the voucher date.
  • Created by – here, enter the creator who is to be taken into account. No entry means that the data are evaluated notwithstanding the creator.
  • Organization – here, enter the organization that is to be taken into account. No entry means that the data are evaluated notwithstanding the underlying organization.
  • Use date – here, enter the use date that is to be taken into account. No entry means that the data are evaluated notwithstanding the use date.

Work pane

The work pane has a table in which the queried numbers and number ranges are displayed.

Standard view

All important table columns of this view are described below.

  • Number range – identification of the number range
  • Number – number of the number range
  • Use date – date on which the number or number range was used.
  • Status number range – valid status values of the number range are:
    • Free: These numbers are pre-reserved blockwise by the system
    • Reserved: Numbers with this status are assigned, but not ultimately saved
    • Used: These numbers are stored in posted vouchers
  • Change time point – time point of the last change
  • Organization – organization using the number range
  • Voucher date – here, enter the voucher date that is to be taken into account. No entry means that the data are evaluated notwithstanding the voucher date.
  • Created by – creator of the number range or the number used

With a selected line item that has the Assigned status, you can proceed to the Posting details maintenance application, where the relevant details of posting, such as account, contra account, tax code and period, posting amount, etc., are displayed for your information.

Customizing

The Cockpit: Number usage application does not need any specific settings in Customizing.

Business entities

The following business entity is relevant for the Cockpit: Number usage appli- cation that you use, for example, in order to:

  • Assign authorizations,
  • Set up activity definitions or
  • Import or export

Authorizations

Authorizations can be assigned by means of authorization roles as well as through a content-based authorization (by assignment to organizations). The authorization concept is described in the Authorizations technical documenta- tion.

Special capabilities

The Cockpit: Number usage application has no special capabilities.

Organizational assignments

Organizational structures are used to control which data can be viewed, used, or edited. The Content-based authorizations function must be activated in the Customizing application for this purpose.

To ensure that the Cockpit: Number usage application is displayed for a per- son in the user menu, the user must be assigned to an organization that is connected to one of the following organization structures:

  • Financials

The Cockpit: Number usage application has no special features.

Authorizations for business partners

The Cockpit: Number usage application is not released for business partners.
