Cockpit: E-supplier invoices

Topic overview

The application Cockpit: E-supplier invoices is primarily used to query e-invoices via their header information, such as their identification. You can use this application to obtain an overview of the e-supplier invoices. In addition, further actions can be performed from the application for one or more vouchers, such as changing the status or importing the converted data and the associated generation of supplier invoices.

Application description

With the help of the query application Cockpit: E-supplier invoices you can get an overview of all or selected e-invoices. In addition, further processing options are available:

  • Switching to the E-supplier invoices application via the e-supplier invoice number for further processing of the voucher
  • Execution of application-related actions

The application consists of a query pane and a work pane.

Query pane

In the query pane the search fields are stored. Usually the most important search fields are already available. However, their number and positions can vary.

The query pane is saved for each view. You can determine the search fields to be displayed by selecting them from the set of available fields. To do so, select relevant fields under Define query and result properties → Specify search fields. The search fields are usually explained in the “What’s this” help.

Work pane

The work area comprises a table which displays the queried e-supplier invoices. You can determine which information is displayed for an e-supplier invoice. In order to look at e-supplier invoices in different ways with different information, you can create several views.

Assign “Do not import” status

You use this action to assign the status Do not import to the e-supplier invoices selected in the result list. E-supplier invoices thus marked are not considered in the import process and cannot be further processed.

The action [Remove converted data] removes all data and, thus, deletes all saved changes to the line items or the basic settings for the import of the e-supplier invoice. After that, the e-supplier invoice is released again for processing.

Remove converted data

This action removes all data from the e-supplier invoices selected in the result list and, thus, deletes all saved changes to the line items or the basic settings for the import of e-supplier invoices.

If item master data has already been generated for supplier items, it is retained and needs to be edited or deleted as required in the Items application.

When you reopen an e-supplier invoice missing converted data in the E-supplier invoices application, the converted data from the original invoice will be added again.

Import data and generate supplier invoice

You use this action to import the data of the e-supplier invoice, and the ERP system then generates a supplier invoice according to the defined supplier invoice type from it.

When you execute this action, a dialog window opens where you can define whether warnings occurring during execution of the action are to be confirmed automatically.

Field available in this dialog window:

  • Automatically confirm warnings – you use this function to define whether warnings occurring during execution of the action and concerning the generation of the supplier invoice are to be confirmed automatically. Other warnings concerning the import status are not confirmed automatically.

If the function is activated, the action will be executed successfully even if warnings occur during generation of the supplier invoice.

If the function is deactivated, the action will be canceled when warnings occur.
