Analysis periods of defined reports

The application Analysis periods for defined reports is described below. This application is primarily used to create, display and change specially defined time periods, such as Easter business, Christmas business, discount actions, etc., which are to be evaluated in addition to the already existing standard evaluation periods (current period, 1st half year, etc.).

Application description

The application Analysis periods for defined reports defines the criteria for self-defined evaluation periods.

The period and daily balances from Controlling and Financial accounting are used as the database for these individual evaluation periods. (Daily balances of the financial accounting have to be realized first).

Within a defined report, it is possible to display data from period and daily balances in different columns. In addition, the type of period can be distinguished in the evaluations. Evaluations can then be made by posting period or by calendar months.

The application consists of a query pane and a work pane.

Identification pane

The query fields are listed in the identification pane (Query pane).

Analysis period – this field is used to enter the key term for which the evaluation periods for customized reports are maintained.

Description – the description serves as an additional identifier. It may consist of user defined text. Enter a meaningful, memorable and possibly a unique name, so the search will be easier after that. A homonymous name can exist multiple times

Work pane

All essential fields of the various tabs are described below.

Tab General

The period type and the standard period flag are displayed on the tab General. The Standard evaluation period indicator cannot be entered. Standard periods and periods that are already assigned cannot be deleted.

  • Period type – the period type determines which data are used for the evaluation. The period type can have the following content:
    • Period balances
    • Daily balance
  • Standard analysis period – if this field can be entered, it must contain only the following values, otherwise an error message is issued. Possible values:
    • Active
    • The evaluation period is standard and included in the delivery data.
    • Inactive

The evaluation period is no standard, but an individually created depreciation method by the user.

Tab Period balances

You can create and edit evaluation periods for Period balances. If an evaluation period for period balances is changed, this can affect existing reports.

The evaluation periods are defined using the fields Period from and Period to. Depending on the type of period, the period or calendar month is used. The following checks are taken into account when defining the evaluation periods:

  • The entry “Period / month according to column” can only be used for standard periods
  • A positive numerical value must always be specified when specifying “Fixed value
  • Due to the variable definition option, it can happen in report evaluations that the end period is before the start period. This option is up to you and is not intercepted by an examination.

  • Period from – the period from determines what data will be used for evaluation.
  • Fix value period from – in this field, you can enter a fixed value for the selection of the data. The data will be printed from the specified value. The fiscal year is specified when the report is called. The “Period from” parameter must be defined as a “Fixed value.”
  • Period until – the period until determines what data will be used for evaluation.
  • Fix value period until – in this field, you can enter a fixed value for the selection of the data. The data is printed up to the specified value. The fiscal year is specified when the report is called. The “Period to” parameter must be defined as a “Fixed value.
Tab Daily balances

With evaluation periods for daily balances, specially defined periods such as Easter business, Christmas business, discount actions, etc. can be evaluated. You can create and edit such evaluation periods for daily balances.

With evaluation periods for daily balances, you can control whether presentation and closing periods should be taken into account. The value is determined from the daily balances. If an evaluation period for daily balances is changed, this can affect existing reports.

A fixed from/to date can be specified for the evaluation period. In addition, it can be controlled whether the advanced forwards and / or closing periods are taken into account. These fields can only be entered if the period type is daily balances. The dates do not have to be within one year.

Example: Christmas business from 15.12.14 – 07.01.2015.

The values for this period type are determined independently from the call period of the report.

  • Date from – this field is used to control the date from which the values are determined.
  • Date until – this field is used to control the date up to which the values are determined.
  • Include carry-forward values – this parameter controls whether the carry forwards are taken into account for periods for daily balances.
  • Include closing values – this parameter controls whether the closing periods are taken into account for periods for daily balances.

Tab Text

  • Number – if you want to enter text, a number must first be assigned in this field under which the respective text is to be saved.
  • Text group – first assign the text to a text group. In many evaluations, you can determine from which text group the texts should be printed. When creating a new text, the values of the fields “Display automatically” and “Message type” are suggested from the text group but can be overwritten individually.
  • Auto display – use this selection to control whether or not the texts should always be displayed in the navigation area when the data record is called up.
  • Message type – use the message type to indicate whether a recorded text should be displayed as a warning (yellow warning triangle) or as information (blue info indicator).
  • Text – captured text.

Customizing

No settings need to be made in the Customizing application for the application Analysis periods for defined reports.

Checks and calculations

The following requirements, restrictions and consequences must be observed:

  • The functions were implemented for both Controlling and Financial accounting (e.g. balance sheet, income statement).
  • Only the call with posting period or calendar month is implemented. Access by date (or date from / to) is currently not
  • Access to daily balances and the definition of individual time periods can have a negative effect on the runtime of the defined
  • Daily balances are not created automatically and must be parameter-
  • In phase 1, periods for daily balances are only implemented with Date from and Date to. The call period of the report is not taken into account.
  • With the evaluation periods, a distinction is made between evaluation periods for period balances and evaluation periods for daily
  • Evaluation periods (e.g. fiscal year, 1st quarter, etc.) are outsourced to a separate BO and are independent of the organization.
  • Periods that are generally required to exist (so-called standard evaluation periods) are regarded as an integral part of the overall application and are supplied with the software
  • Standard periods can be used as templates for new periods. This means that standard periods can be copied and adjusted
  • If an evaluation period is changed, this can affect existing reports. If there is a change, you must therefore check whether the evaluation period is assigned to a column scheme. If this is the case, you will be informed of this with a warning.
  • Standard periods and evaluation periods that are assigned to a column or a report run cannot be deleted.
  • Texts can be stored for evaluation periods in order to document any
