Topic overview
The Cockpit: Customer invoices application is primarily used to query customer invoices via their basic information, such as customer invoice type and number. You can use this application to obtain an overview of the customer invoices entered. In addition, further actions can be carried out from the application for one or more documents, such as transferring invoices to financial accounting.
The main general description of a cockpit, which includes the usual handling of a query and work area, can be found in the Cockpits article. The topics that apply specifically to the Cockpit: Customer invoices application are described below.
Application description
You can use the Cockpit: Customer invoices query application to get an overview of all or selected customer invoices. Further processing options are also available:
- Display of the document chain for a single document
- Switch to the Cockpit: Customer invoices application via the document number
- Transferring invoices to financial accounting
- Creating, deleting and outputting invoice lists

The application consists of a query pane and a work pane
Query pane
Query fields are stored in the query pane. As a rule, the most important query fields are already available. However, the number of query fields and their placement can vary.
The query pane is saved per view. You can determine which query fields are displayed. To do this, select the desired query fields from a list of fields. The description of the query fields can usually be found in the direct help.

Search details
In addition to the main search with the query features in the query area, detail searches can also be used. Detail searches can be combined with the main search so that both the query features from the query area and the query features of the detail search are evaluated as an AND link. A checkbox is available in the section line of the detail search for combining.
A separate button is available for each detail search. If this button is activated, a further heading line appears in the work area with the corresponding detailed information.
The following detail searches are available:
- Delivery information
- Procurement order information
- Distribution order information
- Sales order information
Work area
A table is available in the work pane in which the queried customer invoices are displayed. You can determine yourself which information is displayed for an outgoing invoice. To view an outgoing invoice in different ways with different information, several views can be created.
If you have also activated a detail search button, the table will contain an additional heading line and detailed information.

Application-related actions
The application can be found in both the Sales and Accounting frameworks. The available actions are different.
Application-related actions are available to you in the Cockpit: Invoices application in the Sales framework, which are described in the following chapters:
- Output invoice copies action
- Cancel and output invoice action
- Finish and output invalid invoice action
The following chapters describe the application-related actions that are offered to you in the application in both the Sales and Accounting frameworks:
Output invoice copies action
With this action, you output a copy of each of the selected invoices.
The requirements and effects of the action are described in the article Query Customer invoices.
Cancel and output invoice action
You can use this action to generate and output reversal documents for the selected invoices. The action is only available if your user has been assigned the Allow mass cancellation of vouchers capability using the authorizations.
The other requirements and effects as well as the settings in the dialog box for the action are described in the Query Customer invoices article.
Finish and output invalid invoice action
This action assigns the invoice numbers for the selected invoices and performs final calculations. No further items are added to the invoice. The invoices are then output.
You need administrative authorizations for customer invoices to be able to use the Complete and issue invalid invoices action.
The invalid customer invoices that can be completed by this action must fulfill the following conditions:
- General status is Invalid
- Invoice has no number
- Invoice is not a cancellation invoice
Transfer invoices action
You can use this action to transfer invoices to financial accounting.
The customer invoices must have the following statuses when they are transferred to Financial Accounting:
- General status
- Not canceled, or
- Canceled
- Transmission statuds: Not transferred
When you execute the action, a dialog box opens in which parameters are offered for execution.
The parameters in detail:
- Reduce unallocated credit reservations – if this option is activated, the referenced customer credit reservations are reduced by the unallocated reservations for the selected Customer invoices. The Customer invoices are then transferred.
NoteThis field is displayed only if the Customer credit function is activated for at least one company in the Customizing application. - Posting date selection – specify how the posting date is determined. Choose between the following options:
- As specified: enter the booking date manually.
- Same as voucher date: use the outgoing invoice date as the posting date.
- Posting date – enter the desired booking date in this field. It is available for input only if the as specified option is selected in the Selection of booking date field.
Actions for invoice lists
When working with associations, invoice lists are required in the business process. In an invoice list, all individual and/or collective invoices that were created due to deliveries of goods to the association members are periodically made transparent for the association.
An invoice list is sent to the association either by EDIFACT and/or in paper form.

The Export data application can be used to export invoice lists together with the assigned Customer invoices.
You can use the Invoice lists actions described in the following chapters:
Generate invoice lists… action
Use the Generate invoice lists... action to generate invoice lists for the selected Customer invoices for which a payment partner has been entered and for which no invoice list has yet been generated.
The following features apply to the summary of Customer invoices in the invoice lists:
- Company
- Payment partners
- Currency
Delete invoice lists... action
With the Delete invoice lists... action action, you delete the invoice lists that were generated for the selected Customer invoices.
An invoice list can only be deleted if it has not yet been issued.
Action Output invoice lists…
With the Output invoice lists… action action, you can output the invoice lists that were generated for the selected Customer invoices.
Customizing
For the Cockpit: Customer invoices application, the following are available in the application
Customizing, the following settings in the Sales function are relevant.
Sub-function Calculation generation Enter an existing number range of the Invoice lists type in the system if you want to generate invoice lists for Customer invoices.
- Invoice list number range – the number range stored in this field is used by the system to automatically determine and assign an invoice list number for all new invoice lists. The invoice list number is used to uniquely identify the invoice list.
- Invoice list number range – the number range stored in this field is used by the system to automatically determine and assign an invoice list number for all new invoice lists. The invoice list number is used to uniquely identify the invoice list.
For the Cockpit: Customer invoices application, the following are available in the application
Customizing, the following settings in the Accounting function are relevant.
- Debtor credit balance – the Reduce unallocated credit reservations field is only displayed if the Debtor credit function is activated for at least one company.
Business Entities
The following business entity is relevant for the Cockpit: Customer invoices application, which you use, for example, to
- to assign authorizations,
- Set up activity definitions or
- import or export data.

Authorizations
Authorizations can be assigned both with the help of authorization roles and by assigning an organization. The authorization concept can be found in the article Authorizations.
Special skills
For the Cancel and issue invoices action in the application
Cockpit: Customer invoices uses the following cross-framework capability:

You can assign authorizations for this capability in the Authorization roles application.
Organizational assignments
Organizational structures are used to control which data is visible, usable or editable. To do this, the Content-related authorizations function must be activated in the Customizing application.
In order for the Cockpit: Customer invoices application to be displayed to a person in the Sales frame work in the user menu, they must be assigned to an organization that is integrated into a Sales organizational structure.
In order for the Cockpit: Customer invoices application to be displayed to a person in the Accounting frame work in the user menu, they must be assigned to an organization that is integrated into an Invoicing organizational structure.
For a person to be able to query Customer invoices, one of the organizations assigned to them must be entered in the Authorizations table in the Outgoing invoice types application.

Special features
