Cockpit: VAT ID confirmation results

Topic overview

Companies with a valid German Vat ID can have foreign Vat IDs validated under the confirmation procedure of the Federal Central Tax Office (BZST).

For companies with a valid Austrian VAT ID number, FinanzOnline AT provides a web service for the legally required online verification of foreign VAT ID numbers.

Comarch Financials Enterprise offers a functionality for performing validation or confirmation queries for such Vat IDs automatically via the XML-RPC interface or the BMF interface.

The results of such confirmation queries are shown in the Cockpit: Vat ID confirmation results application. This way, you will be informed, for example, whether the Vat ID of a partner was valid at the time of the query and, for instance, whether the specified location was matching.

This article describes the Cockpit: VAT ID confirmation result application. The cockpit is a customizable application and can be flexibly adapted to each individual user. For a detailed description of the customizable cockpits refer to the Cockpits article.

Application description

With the Cockpit: Vat ID confirmation results application, you can gain an overview of all or individual results of validation or confirmation queries for foreign Vat IDs that are performed via the XML-RPC interface respectively the BMF interface. All results that match the search criteria of the query pane will be displayed. Based on the status information, you can recognize whether, e.g., the validity of the Vat IDs is confirmed.

In addition, entries can be removed from the display or deleted with the Delete       button when, for example, a Vat ID is no longer up-to-date due to a spelling correction and revalidation.

The application consists of a query pane and a work pane.

Query pane

Query fields are created in the query pane. The most important query fields are usually already present. However, the number of query fields and their placement can vary. You can determine which query fields are displayed. All important query fields are listed below.

Detailed description of fields:

Default search fields:

  • Partner – in this field, enter one or more partners as search criteria for the data to be displayed, if required. Via the Search for partners value assistant, you can have the considered partners displayed and select them.
  • VAT ID – in this field, enter one or more VAT IDs as search criteria for the data to be displayed, if required.
  • Confirmation date – here, select the data to be displayed according to their confirmation date, if required.
  • Return code from interface – in this field, enter one or more return codes of the interface as search criteria for the data to be displayed, if required.
    Note
    For an overview of the possible return codes of the BZSt, refer to the VAT ID Online Confirmation article and the website of the Federal Central Tax Office.
  • Status (ID confirmation) – here, select the data to be displayed based on their status information. Possible selection values are:
    • (All)
    • Not confirmed
    • Validity confirmed
    • Confirmed as invalid
    • Confirmation failed
  • Confirmation method – here, select the data to be displayed based on their confirmation method. Possible selection values are:
    • (All)
    • Simple confirmation
    • Qualified confirmation
  • Interface – here, select the data to be displayed through the interface used. Possible selection values are:
    • (All)
    • BZSt (DE)
    • BMF (AT)
  • Official confirmation – here, choose whether only data with or without official confirmation should be displayed. The Ignore value means that all data are displayed. Possible selection values are:
    • Yes
    • No
    • (Ignore)
  • VAT ID valid from – here, select the data to be displayed based on the date from which the VAT ID is valid.
    VAT ID valid until – here, select the data to be displayed based on the date until which the VAT ID is valid.

Other search fields:

  • Response code of the name comparison – in this field, enter one or more response codes for the name comparison as search criteria for the data to be displayed, if required. The following response codes are possible:
    • A – matches the data of your query
    • B – does not match the data of your query
    • C – not queried
    • D – not notified by EU Member State
  • Response code of the postal code comparison – in this field, enter one or more response codes for the postal code comparison as search criteria for the data to be displayed, if required. The following response codes are possible:
    • A – matches the data of your query
    • B – does not match the data of your query
    • C – not queried
    • D – not notified by EU Member State
  • Response code of the location comparison – in this field, enter one or more response codes for the location comparison as search criteria for the data to be displayed, if required. The following response codes are possible:
    • A – matches the data of your query
    • B – does not match the data of your query
    • C – not queried
    • D – not notified by EU Member State
  • Response code of the street comparison – in this field, enter one or more response codes for the street comparison as search criteria for the data to be displayed, if required. The following response codes are possible:
    • A – matches the data of your query
    • B – does not match the data of your query
    • C – not queried
    • D – not notified by EU Member State

Work pane

The work pane has a table in which the queried results of the confirmation queries are displayed. You can decide which information will be displayed. The columns of the Standard view are described below. Basically, all editable fields can be displayed for the selection, but they cannot be created.

Standard view
  • VAT identification – this column displays the partner for whose VAT ID a confirmation query was transferred.
  • Confirmation date – this column displays the validated VAT ID.
  • Return code from interface – this column displays the date and time of the confirmation query for the VAT ID.
  • Status (ID confirmation) – this column contains the return code of the confirmation query performed.
  • Confirmation method – this column displays the confirmation status according to the result of the confirmation query, e.g., validity confirmed.
  • Interface – this column contains the confirmation method applied.
  • Official confirmation – this column contains the interface applied.
  • VAT ID valid from – if an official confirmation was required with the confirmation query, this is indicated here with a green check mark.
  • VAT ID valid until – if a VAT ID is invalid (return code 203, 204), these columns display the time period in which the VAT ID was invalid.
  • Response code of the name comparison – if a qualified confirmation is required, this column contains the response code as the result of the name comparison.
  • Response code of the postal code comparison – if a qualified confirmation is required, this column contains the response code as the result of the postal code comparison.
  • Response code of the location comparison – if a qualified confirmation is required, this column contains the response code as the result of the location comparison.
  • Response code of the street comparison – if a qualified confirmation is required, this column contains the response code as the result of the street comparison.
Delete obsolete Vat IDs

In the Cockpit: Vat ID confirmation results application, you can remove obsolete Vat IDs from the display or delete them, using the BZSt-XML-RPC interface. For this, call up the Delete obsolete Vat IDs batch application, using the [Delete] button.

In the displayed dialog window of the batch application, you can specify the partner or the partners whose obsolete Vat IDs should be deleted. For previously selected entries, the partners are automatically adopted as prepopulation to the dialog window.

If you activate the Only invalid Vat IDs label, only those entries will be deleted, the Vat IDs of which are obsolete and have been recognized as invalid based on the validation. Otherwise, all entries will be deleted, the Vat IDs of which do not match the current Vat IDs of the respective partner.

No entries are to be made for the Cockpit: Vat ID confirmation results application in Customizing.

Authorizations

Authorizations can be assigned by means of authorization roles as well as through a content-based authorization (by assignment to organizations). The authorization concept is described in the Authorizations article.

Special capabilities

The Cockpit: Vat ID confirmation results application has no special capabilities.

Organizational assignments

Organizational structures are used to control which data can be viewed, used, or edited. The Content-based authorizations function must be activated in the Customizing application for this purpose.

To ensure that the Cockpit: Vat ID confirmation results application is displayed for a person in the user menu, the user must be assigned to an organization that is connected to one of the following organization structures:
