Inventory requisitions

Topic overview

Inventory requisitions are used, among other things, to plan manually managed inventory movements. They are used to generate inventory orders, which are used to document an inventory movement.

This article describes how inventory requisitions are mapped in the system and how the application of the same name is structured. You will also learn about the relationship between an inventory requisition and other applications and business entities and how it is connected with the business processes.

Definitions of terms

Identifiers
An identifier identifies a specific item. For example, in addition to the item number, a television is also identified by the serial number identifier and is therefore unique. As identifiers, batch, lot, and serial number are supported.

Consignment
In consignment, the goods of a supplier are made available in a consignment warehouse directly on their customer’s premises. The business transaction and the transfer of ownership only take place upon the issue of the goods from the consignment warehouse, i.e. the customer’s use or resale of the goods, or the transfer of the goods from consignment inventory to own inventory. Such issue is referred to as consignment withdrawal. At agreed intervals, the customer informs the supplier about the consignment withdrawals with the help of a consignment withdrawal declaration. On the basis of these withdrawal declarations, invoices will be issued. From the purchasing perspective, this type of business is referred to as supplier consignment; from the sales perspective, it is referred to as customer consignment.

Loading units
A loading unit is a combination of items in or on a suitable storage unit in order to store or ship them. A loading unit can also include other loading units.

Inventory requisitions
An inventory requisition is a means of recording the relevant data for inventory movements in warehouses managed by storage locations. From inventory requisitions, concrete inventory orders are generated, applying put-away or withdrawal strategies, for example.

Inventory order
An inventory order determines the transport of items inventories. The inventory order specifies which item with which quantity is to be transported from a warehouse zone, from a storage location or from a slot to another location. A manual inventory order is formulated in the form of an inventory requisition.

Warehouses
A warehouse is a logically or physically defined area in which item inventory is maintained. A warehouse can be
subdivided into warehouse zones and storage locations if storage location control is enabled in Customizing. The exact structure of the warehouse is defined by the warehouse organization.

Storage location
A storage location is the exact point in a warehouse where items can be stored. A storage location within a warehouse always lies in a warehouse zone and is determined precisely on the basis of a row, a level, and a storage location number. Each storage location has a storage location category that establishes the use of the storage location. The availability of storage locations is essential for storage location control.

Warehouse zones
If storage location control is activated in the Customizing application, a warehouse can be subdivided into warehouse zones. A warehouse can have any number of warehouse zones.

Serial numbers
Serial numbers are possible identifiers for items. Serial number identification means that every unit of an item is given a serial number that identifies it uniquely throughout the system. In contrast to batches and lots, a serial number applies to exactly one base unit of the item. The assignment of serial numbers is divided into serial numbers with inventory management and serial numbers without inventory management

Slot
A storage slot is a subunit of a storage location. It is the smallest component of a warehouse. A storage slot can accept exactly one storage unit. The number of storage slots is the maximum number of storage units allowed for the storage location.

Application description

Inventory movements in warehouses are mapped by inventory orders that are generated, for example, by receipts of goods or picking orders. To move inventory independently of these processes, you can enter inventory requisitions and generate inventory orders from them (use Manual inventory movement).

In addition, inventory requisitions can be generated during multi-level picking (use Withdrawal for picking order) or as part of supplier consignment to transfer consignment inventory to own inventory (use Add consignment inventory to own inventory). Inventory requisitions can also be generated from the cockpit applications Cockpit: Inventories and Cockpit: Storage location inventories.

Using the Inventory requisitions application, you can enter inventory requisitions for manual inventory movements and process inventory requisitions.

The application consists of an identification pane and a work pane. Views are also available, which are described in the following sections:

Manual inventory movement view

In this view, an inventory requisition with the usage Manual inventory movement is displayed. This type of inventory requisition is used to record planned inventory movements. Inventory can be moved either within a storage location or between different storage locations.

Special inventory view

In this view, an inventory requisition with the usage Special inventory is displayed. This type of inventory requisition is used to enter planned inventory movements for inventory that is marked as special inventory. Special inventory can, for example, be inventory for return delivery to suppliers.

Withdrawal for picking order view

In this view, a inventory requisition with the usage Withdrawal for picking order is displayed. This type of inventory requisition is generated during multi-level picking and is linked to picking orders. You cannot enter it manually or change it. However, you can create new inventory orders or delete the inventory requisition completely or line item by line item.

Add consignment inventory to own inventory view

In this view, an inventory requisition with the usage Add consignment inventory to own inventory is displayed. This type of inventory requisition is entered by a user and is used to manually transfer inventory quantities from consignment inventory to own inventory as part of the supplier consignment.

Identification pane

The identification pane contains the fields that uniquely identify an inventory requisition, as well as other generally valid data.

Description of the fields:

Number – the unique identification of an inventory requisition is displayed in the Number field. It consists of two entries: the inventory requisition category in the first input field and the inventory requisition number in the second input field. The inventory requisition category used, together with the inventory requisition number, serves to identify the inventory requisition.
For new inventory requisitions, the inventory requisition number is automatically generated by the system based on the number range defined in the inventory requisition category. It cannot be assigned manually.

Status – the status of the inventory requisition is shown by icons directly next to the Number field.
The following statuses can be displayed:

  • In progress
  • Released
  • Completed

The status of the inventory requisition summarizes the status of the individual line items.
A new inventory requisition receives the status that is stored in the inventory requisition category as Creation status. An inventory order can only be generated for a released inventory requisition.
The status Completed is assigned to the inventory requisition as overall as soon as all inventory requisition line items have the status Completed.
An inventory requisition line item is considered completed when the quantity reported from the associated inventory orders equals or exceeds the quantity of the inventory requisition line item. Inventory orders for the return of a withdrawn or relocated item are not taken into account.

Creation date – when an inventory requisition is entered, the current date is transferred to the Creation date field. The date cannot be changed. In the availability calculation, the creation date is always used as the availability date for inventory requisitions. However, the creation date of the inventory requisition has no effect on the creation date of an inventory order generated from the inventory requisition.

Category – the category of inventory requisition is defined in the inventory requisition category used and is displayed in this field.

Site – the organization for which the inventory requisition was generated is displayed in the Site field. This is the site selected in the title bar at the time the inventory requisition was generated, i.e. when the [New] or [Duplicate header] action was performed.
You cannot change the displayed organization.

Inventory owner – the inventory owner is the legal owner of an item inventory. This specification determines whose items are transported. When generating an inventory requisition, the company to which the site selected in the title bar belongs is suggested.
For inventory requisitions to transfer consignment inventory to your own inventory, enter the target inventory owner, i.e. your own company, in this field.

Source inventory owner – this field is only available for inventory requisitions with the usage Add consignment inventory to own inventory.
For inventory requisitions to transfer consignment inventory to own inventory, enter the previous owner of the consignment inventory in this field, i.e. the supplier.

Text – in this field, you can enter a text that describes the reason for the inventory requisition, for example.

Employee responsible – if required, enter a partner identification with the Employee role and assign a responsible employee to the inventory requisition.

Work pane

The line items of the inventory requisition are displayed in a line item table. Enter the individual line items with the line item editor.

Line item table

If necessary, a section of the data entered in the item editor is displayed in the item table. Not all data can be edited in the table. Therefore, please also note the explanations for the respective field under Line item editor.

Table toolbar

In the table toolbar, you will find actions for searching the line item table for line item numbers and item identifiers. You can also mark line items for deletion. See this articles for these actions:

The [Search and add line items] button is also visible in the table toolbar. This button is available for further individual programming and is not active in the releases delivered by Comarch.

Next to it you will find the [Serial numbers] button to show and hide the details of serial numbers in the table.

Table columns

Below is a detailed description of the table columns in the application:

Line item number – this column shows the line item number of the inventory requisition line item. The line item number is used to precisely identify the individual inventory requisition line items and is generated automatically based on the number range used.

Item – this column shows the inventory item to be transported. You can assign either an item or a loading unit to the inventory requisition line item. If a loading unit is assigned to the line item, the Item column is empty.
As long as the line item is not saved, you can change the item identification in the table.

Identifier – if an item is managed in Batch or Lot identifiers, an identifier is displayed in the Identifier column depending on the inventory requisition type. For the Serial number identifier type, the assigned serial numbers are displayed in separate lines.
As long as a line item is not saved, you can change the identifier of the Batch and Lot categories. You can change serial number assignments using the line item editor. You can also edit these until an inventory order has been created.
For an inventory requisition of the type Put-away, you must enter an existing identifier. Serial numbers without inventory management are an exception. You cannot enter these in the inventory requisition, neither for a put-away nor for a withdrawal or relocation.
You can omit the identifier for an inventory requisition of the type withdrawal or relocation. In this case, an identifier assignment is made automatically when the inventory orders are created.
If you enter an identifier, this identifier will be used in the inventory order. The identifier assignment is used to reserve the item for the specified identifier when the inventory requisition is released. With the release, the availability data required for the inventory requisition is also determined, either at item or identifier level, depending on whether an identifier has been entered in the inventory requisition.

Note
You enter the available identifiers in the Identifiers application. Identifiers can also be generated automatically depending on the opening method saved in the item master data, e.g. when posting a receipt of goods.

Loading unit – this column displays the loading unit to be transported. You can assign either an item or a loading unit to the inventory requisition line item. If an item is assigned to the line item, the Loading unit column is empty.

Note
For loading units that are not item-segregated, demand data are basically not generated. The demand data are also not generated when the reservation is activated for the items of the loading unit.

Quantity – this column displays the quantity to be transported.
As long as there are no inventory orders for the inventory requisitions with the status Released or there are only inventory orders that were completed without reporting, you can overwrite the displayed value. Furthermore, you can
reduce the quantity as long as it is not lower than the inventory order quantity. This way, partially completed inventory requisitions can receive the Completed status if, for example, not the entire quantity demand can be withdrawn.
If the inventory requisition item has a serial number assignment, you cannot change the quantity. The quantity is automatically changed according to the number of assigned serial numbers.

Transported quantity – this column displays the reported quantity.

Warehouse/warehouse zone/storage location – this column shows the warehouse and, if applicable, the warehouse zone, storage location and slot.
In the case of an inventory requisition in the Withdrawal category, the warehouse, the warehouse zone and the storage location is displayed from which the item inventory should be deducted. In the case of an inventory requisition in the Put-away or Relocation categories, the warehouse, the warehouse zone and the storage location is displayed that should accept the item inventory.

Source warehouse/zone/location – this column shows the warehouse and, if applicable, the warehouse zone, the storage location and the slot from which the item inventory should be deducted for inventory requisitions of the Relocation category. In the case of inventory requisitions in the Put-away and Withdrawal categories, the field is empty.

With storage unit – the transport process can be carried out with or without storage unit. The specification is only taken into account if you enter a storage location-managed warehouse or storage location whose storage location type provides for the use of storage unit.
For bulk storage locations, this parameter is always activated automatically and cannot be deactivated.
If you have not entered a storage bin, the system decides whether loading equipment should be used based on the putaway or inventory removal specifications. In this case, the setting for this function is ignored.
If you have entered a storage location and no further storage units can be stored in it, the storage without storage unit is suggested in the corresponding inventory order. Alternatively, the storage location can be changed in the inventory order.
If you have assigned a loading unit to the inventory requisition line item, the setting for the With storage unit parameter cannot be changed becasue the transport process always takes place with the storage unit of the loading unit.

Storage unit – the storage unit to be used is displayed in this column or you can enter it.
In the case of a put-away, the item inventory is put away to the storage unit specified. In the case of a withdrawal or relocation, only item inventories with the storage unit entered are taken into account. In the case of an inventory requisition in the Relocation category, the entry applies both to the source and the destination storage location. If the entered or determined storage location is of a storage location type that does not provide for use of storage units,
the entry is not taken into account.
If the specified number of storage units has been reached for the storage location, the entry in the corresponding inventory order is not taken into account and no storage unit is added.
If you do not enter a storage unit, inventory is put away using the preferred storage unit saved in the item master data. In the case of inventory withdrawal without specifying a storage unit, the item inventories to be taken into account are considered independently of a storage unit.
If you have assigned a loading unit to the inventory requisition line item, the Storage unit column contains the storage unit of the loading unit.
Once the inventory order has been created, you can no longer change this entry.

Special inventory – this column shows whether the inventory requisition deals with special inventory. In the case of relocations, you can specify whether the relocated inventory should be marked as special inventory.

Source special inventory – this column shows whether the inventory requisition for a relocation deals with a special inventory from the source. You can specify whether the source inventory to be relocated should be marked as special inventory.

Reservation status – this column displays the status of an issue reservation. Possible statuses are:

  • Not reserved
  • Partially reserved
  • Completely reserved

The column is only visible if the Reservations parameter is active at the client level in the Customizing application. The status is only displayed if the entered inventory requisition is either of the Withdrawal or Relocation categories. In the case of relocation, the status of the reservation refers to the source warehouse.
Reservation statuses can only be displayed for the source warehouse for which the Reservations function is activated in the warehouse data.

Status – this field displays the status of the inventory requisition line item. Possible statuses are:

  • In process
  • Released
  • Completed
  • Reserved quantity not available

Line item editor

In the line item editor, enter the data of the inventory requisition line items. In the line item editor, you can also display and reprocess inventory requisition line items that already exist in the line item table.

You can enter inventory requisition line items for inventory movements of both items and loading units. The line item categories Item line item and Loading unit line item are available for this purpose. The line item category of an open line item is displayed with an icon in the line item editor toolbar.

The following actions are available for entering a new line item:

[Create new item line item] – this action is used to prepare the item editor for entering a line item. The fields for item line items are described under Line item editor: Item line items.

[Create loading unit] – this action is used to prepare the line item editor for entering a loading unit line item. The fields for loading unit line items are described under Line item editor: Loading unit line items.

Note
You can only enter a loading unit line item for warehouses that are not storage location-controlled.

In addition, the toolbar contains some standard actions that are explained in the operating guidelines.

Line item editor: Item line items

The [Create new item line item] button in the line item editor toolbar is available for entering item line items. The data to be entered is arranged under tabs, which are described in the following sections:

General tab

Fields in this tab are the following:

Item – in this field, enter the inventory item to be transported. You can use all the inventoried items with the status Released of the following material categories:

  • Inventory item
  • Storage unit
  • Variant item
  • Equipment

The system checks the usability of the item upon acceptance.
Once you have saved the inventory requisition line item, you cannot change the item anymore.
If the inventory requisition is saved with the opening status In process, no further availability and reservation record is usually generated.
Only inventories with specified identifiers of an item are reserved if the reservation function is deactivated in the Customizing application. If required, see the article Identifier reservations.
Saving an inventory requisition with the opening status Released changes the availability of all items contained in the inventory requisition. In parallel, all items contained in the inventory requisition are reserved if the Reservations function under Customizing is set accordingly and the inventory requisition provides for relocation or withdrawal.
If storage locations have been entered, these are always reserved when an inventory requisition is released. If required, see the article Storage location reservations.
If the inventory requisition relates to a change of ownership as part of a consignment process, a reservation is always made when the inventory requisition is released.
For inventory requisitions in the Transfer posting category within a warehouse, neither an availability record is generated nor a reservation of the items or the identifiers takes place.

Note
Reservations are only made if the Reservations function is activated for the inventory management organization concerned in the Customizing application. Reservations for storage locations and identifiers are independent of this if they have been specified.

Identifier – if the item is managed in identifiers, you can enter the identifier in the Identifier field. For the identifier type Serial number and a quantity greater than 1, assign several serial numbers under the Serial number assignments tab.
In the case of an inventory requisition in the Put-away category, you have to specify an existing identifier. Serial numbers without inventory management are an exception to this rule. You cannot specify them in the inventory requisition.
In the case of an inventory requisition in the Put-away or Relocation categories, you can also leave the field empty. In this case, the identifier assignment is executed automatically when generating inventory orders.
If you enter an identifier, exactly this identifier will be used in the inventory order. The characteristic assignment is used to reserve the item for the specified characteristic when the inventory requisition is released. With the release, the availability data required for the inventory requisition is also determined, either at item or specification level, depending on whether a specification is specified in the inventory requisition.
If you have saved the inventory requisition line item, you cannot change batch or lot assignments anymore. For serial number-managed items, you can edit the serial number assignments until an inventory order has been created.

Note
You enter the identifiers available beforehand in the Identifiers application. Identifiers can be also generated automatically, depending on the creation method saved in the item master, e.g., upon posting of a receipt of goods.

Quantity – in this field, enter the quantity of the item to be transported. It must be possible to convert the quantity into the base item unit of the item. If the item is managed in parallel inventory units, it must be possible to convert the specified unit into the first commercial inventory unit if the base item unit is not commercial. If you do not specify a quantity unit, the base unit of the item or the first commercial inventory unit is used automatically.
In order to make it possible to generate inventory orders, the quantity entered cannot be a negative one.
If serial numbers have been assigned to the inventory requisition line item, you cannot change the quantity. The quantity is automatically changed according to the number of assigned serial numbers.
As long as there are no inventory orders for the inventory requisitions with the status Released or there are also inventory orders that were completed without reporting, you can overwrite the displayed value. Furthermore, you can
reduce the quantity as long as it is not lower than the inventory order quantity. This way, partially completed inventory requisitions can receive the Completed status if, for example, not the entire quantity demand can be withdrawn.
The quantity entered directly affects the extent of availability and the existing reservations, if applicable. If the quantity of an existing inventory requisition is changed, the related availability and the related reservation are adjusted to the same extent.

Binding unit – this field is used to define how the unit of the quantity to be transported is taken into account when the inventory requisition is created. Possible selection values are:

  • Included in packaging structure – the quantity can either be withdrawn in the unit entered in the inventory requisition or in a packaging unit that contains the requested unit according to the item’s packaging structure.
  • Non-binding – the quantity can be withdrawn in any unit that can be converted into the base item unit.
  • Binding

For simple warehouses, this setting also determines the units in which the reporting in the inventory order can be made.

Note
The setting is preset using the item master data and can only be changed if the following conditions are met:

  • The inventory requisition does not have the usage Withdrawal for picking order
  • The inventory requisition is of the category Withdrawal or Relocation

There are no open inventory order line items for the inventory requisition line item.

With storage unit (checkbox) – the transportation process can take place with or without storage unit. The specification is only taken into account if you have entered a storage location whose storage location type provides for the use of storage unit. For bulk storage location, this parameter is always activated automatically and cannot be deactivated.
If you have not entered a storage location, the put-away and withdrawal settings determine whether storage unit is to be used. In this case, the setting for this parameter is ignored.

Storage unit – in this field, you can specify a storage unit that should be used if the storage location provides for the use of storage units.
In the case of a put-away, the item inventory is put away to the storage unit specified. In the case of a withdrawal or relocation, only item inventories with the storage unit entered are taken into account. In the case of an inventory  requisition in the Relocation category, the entry applies both to the source and the destination storage location.
If you do not specify a storage unit, the inventory is put-away to the preferred storage unit as saved in the item master data. In the case of a withdrawal without specification of a storage unit, the item inventories to be taken account are not limited by the storage unit.
If the entered or determined storage location is of a storage location type that does not provide for use of storage units, the entry is not taken into account.

Warehouse/warehouse zone/storage location – the data in these fields is to be considered depending on the type of inventory requisition:

  • Withdrawal – for an inventory requisition of the type Withdrawal, enter in this field the warehouse and, if applicable, a warehouse zone and a storage location with or without a slot from which the item inventory should be deducted.
  • Put-away/Relocation – for an inventory requisition of the type Put-away or Relocation, enter the warehouse and, if applicable, a warehouse zone and a storage location with or without a slot that should accept the item inventory.
  • Revaluation – for an inventory requisition of the type Revaluation, enter a simple warehouse or a simple warehouse zone for accepting the item inventory.

If you do not enter either a warehouse zone or a storage location, the put-away or withdrawal logic determines, with the use of a storage strategy, matching storage locations for put-away upon generating inventory orders or matching item inventories for withdrawal. If you enter a storage location, the storage location will be used in the inventory order.
Upon entering, a storage location reservation takes place in the entered storage location as well.
If you enter a storage location, you must specify a warehouse zone as well.

Source warehouse location/warehouse zone/storage location – the data in these fields is only relevant for inventory requisitions of the category Relocation:
In the case of an inventory requisition in the Relocation category, enter in this field the warehouse and, if applicable, also a warehouse zone and a storage location with or without a slot from which the item inventory should be deducted.
If you do not enter either a source warehouse zone or a source storage location, the withdrawal logic determines, with the use of a storage strategy, matching item inventories for relocation upon generating inventory orders. If you enter a source storage location, exactly this source storage location will be used in the inventory order. Upon entering, a storage location reservation takes place in the entered source storage location as well.
If you enter a source storage location, you must specify a source warehouse zone as well.

Serial number assignments tab

Under this tab, enter the serial numbers of the item you want to accept in a table. You can only enter serial numbers if the line item’s item is managed in serial numbers with inventory management. If the assignment of serial numbers is not permitted, e.g. because the line item references an open inventory order or has already been completed, you can no longer change the serial numbers.

Note
If you assign serial numbers, it is not necessary to specify the quantity. The quantity is automatically calculated for the number of assigned serial numbers.

The following buttons are available in the table toolbar for assigning serial numbers:
[New] – adds a new, empty row to the table.
[Search and add serial numbers] – this button opens a dialog box in which you can search for the serial numbers and select them for acceptance. The serial numbers to be accepted are added to the table in the corresponding number of rows.
[Set/remove deletion marker] – this button sets or removes a deletion marker for selected serial number assignments. An assignment marked for deletion is only deleted when the inventory requisition is saved.

The table contains the following column:

Serial number – the serial number assigned to the line item is displayed in this column.

Line item editor: Loading unit line items

The [Create loading unit line item] button in the item editor toolbar is available to enter loading unit line items. The data to be entered is arranged under the General tab.

You cannot enter loading unit line items for inventory requisitions for the transfer of consignment inventory to own inventory.

Available fields:

Loading unit – in this field, enter the loading unit to be transported. The system validates the usability of the loading unit. The quantity one (1) is assumed for loading units.
Once you have saved the inventory requisition line item, the loading unit cannot be changed anymore.
The available loading units are generated, for example, through packing as part of receipts of goods and delivery orders.
Please note that you can only accept loading units if they are stored in storage locations or are to be put away there.

Warehouse/warehouse zone/storage location – the data in these fields depends on the type of inventory requisition:

  • Withdrawal – after the first validation of the loading unit line item in the line item editor, this field shows where the loading unit is currently stored.
  • Relocation – if the inventory requistion is of the category Relocation and the loading unit has the status Created, you have to specify a structured warehouse, a warehouse zone and a storage location as the destination.
  • Put-away – if the inventory requistion is of the category Put-away, you have to specify a warehouse as the destination for the put-away.

If you do not enter either a warehouse zone or a storage location, the put-away logic determines, with the use of a storage strategy, matching item inventories for put-away upon generating inventory orders. If you enter a storage location, exactly this source storage location will be used in the inventory order. Upon entering, a storage location reservation takes place in the entered storage location as well.
If you enter a storage location, you must specify a warehouse zone as well.

Note
Loading units cannot be used in revaluations.

Source warehouse/warehouse zone/storage location – these fields are only available if the inventory requistion deals with a relocation. In this case, after the first validation of the loading unit line item entered, the system determines where the loading unit is currently stored and automatically enters the information determined in these fields.

Note
If the loading unit has the status Created and no warehouse is assigned to it, you can change the source data. Please note the special case that if the loading unit is empty and a relocation is carried out, the inventory required for this is also available in the same warehouse.

If you specify a source storage location, you must also specify the source warehouse zone.

The following application-related actions are available in the Inventory requisitions application:

[Release] action
[Release line items] action
[Release and generate inventory order] action
[Generate inventory order] action
[Assign storage locations] action
[Manually complete transport process] action
[Cancel manual completion of the transport process] action

[Release] action

The [Release] action under the Actions button group in the standard toolbar is used to release both the inventory requisition and its line items.
The release at line item level requires various validations, which in turn depend on the inventory requisition category. If, for example, a storage location reservation for a put-away could not be created, the affected line item remains in the status In process.
The action can be executed repeatedly.

[Release line items] action

The [Release line items] action under the Actions button group in the standard toolbar is used to release the base and, optionally, all or selected line items.
The release at line item level requires a validation. If, for example, a storage location reservation could not be created or a serial number was not assigned, the affected line item remains in the status In process.

[Release and generate inventory order] action

The [Release and generate inventory order] action under the Actions button group in the standard toolbar is used to release both the inventory requisition and its line items and to generate an inventory order for released line items.
The release at line item level requires a validation. If, for example, a storage location reservation could not be created or a serial number was not assigned, the affected line item remains in the In process status and is not included in the inventory order.
The action can be executed repeatedly if line items have the status In process.

[Generate inventory order] action

With this action, an inventory order can be generated from a released inventory requisition. An inventory order is understood as a statement on transportation of item inventories. The inventory order specifies the item and its quantity to be transported from a warehouse zone, from a storage location or from a warehouse to another site.

[Assign storage locations] action

With this action, the items to be put away can be assigned manually to storage locations upon automatic generation of inventory orders. The Assign storage locations dialog window is opened, which is described in the article Manually assign storage locations.
In the case of inventory order generation, inventory order line items are generated with the specified data for manual storage location assignments. The unassigned quantities are put away automatically.
If an inventory requisition line item is deleted, its storage location assignments are deleted as well.
This action is only available if you are using storage location control. You also need a warehouse that is managed in storage location.

[Manually complete transport process] action

With this action under the Edit status button group in the standard toolbar you can change the status of an inventory requisition and its open line items. You can use this action to manually mark all line items as Completed whose quantities have not been completely transported and thus exclude a transport process that still needs to be carried out.
As all open line items are processed with this action, the result also affects the inventory requisition as a whole and the general status of the inventory requisition changes to Manually completed. The preconditions for executing this action are that the inventory requisition has the status Released, line item quantities are still to be transported and there is no open inventory order.
If the status of a line item has been manually changed to Completed, the corresponding line item status icon is marked with a blue frame. If a line item has been completed manually, the manually completed quantity is displayed in the line item status tooltip.
Please note that this action assigns a final status for an inventory requisition with the Withdrawal for picking order usage. The [Cancel manual completion of the transport process] action cannot be executed to reset the previous status.

Note
Please note the following in the case of multi-order (multi-level) picking: When an inventory requisition is created (usage Withdrawal for picking order) as part of cross-order picking, the inventory order creation status of the picking line item concerned changes to Inventory order completely generated. The manual completion of the inventory requisition and the resulting missing item quantities do not affect the inventory order generation status in the picking. If required, it is possible to enter a manual inventory requisition for missing item quantities.

[Cancel manual completion of the transport process] action

With this action under the Edit status button group in the standard toolbar you can change the status of an inventory requisition and its manually completed line items. You can use this action to edit all line items that are marked with the status Manually completed and thus enable a transport process that still needs to be carried out. As line items with an open transport quantity exist again, the result also affects the inventory requisition as a whole and the general status of the inventory requisition changes to Released if necessary. The precondition for executing this action is that line items are marked as Manually completed.
If the status for a line item has been reset with this action, the blue frame is removed for the corresponding line item status icon.
This action cannot be carried out for an inventory requisition with the Withdrawal for picking order usage.

Note
Please note the following in the case of cross-order (multi-level) picking: If the manual completion of an inventory requisition with the Withdrawal for order picking usage is canceled, the cancellation has no effect on the associated order picking iline tems.

Status and status changes

The status information of the inventory requisition form an additional separate information element. You can use it to  quickly survey the current processing status of the inventory requisition and the individual inventory requisition line items.

Status is managed both on the level of the overall inventory requisition (header status) as well as the individual inventory requisition line items (line item status).

Header status

The status of the inventory requisition compiles the status of the individual line items.

The possible statuses of the inventory requisition are:

In process – newly generated or entered inventory requisitions are assigned the status In process if the opening status in the inventory requisition type used specifies this. Inventory requisitions with the status In process can be edited as required. The [Release] and [Release line items] actions change the status to Released. A released inventory requisition cannot be reset to In process status.

Released – newly generated or entered inventory requisitions receive the status Released if the opening status in the inventory requisition type used specifies this. Alternatively, the status is assigned by the [Release] or [Release line items] action.

Completed – if inventory requisition line items have been entered and all line items have the status Completed, the inventory requisition is automatically assigned the status Completed.

Manually completed – with the [Manually complete transport process] action, all line items whose quantities have not been completely transported are marked as Manually completed. The inventory requisition is then also assigned the status Manually completed. This status is indicated by a blue frame around the status icon.

Line item status

The status of the inventory requisition line items is determined by the reported quantities of the related inventory orders. An inventory requisition line item is considered to be completed when the reported quantity from the relevant inventory orders corresponds to or exceeds the quantity of the inventory requisition line items. Inventory orders fdeveloped from a picking strategy (deactivated bin picking) for return transfers of a withdrawn or relocated item or loading unit are not taken into account in this case.

Note
Please note that the status of the inventory requisition line item is changed only if the inventory order generated therefrom is reported.
Note
For an inventory requisition of the Relocation category, several inventory orders (1 to n) are generated that map partial processes (relocations between warehouses as well as within the source and/or destination warehouses). In the case of reporting, quantities from only those inventory orders are reported to the inventory requisition that describe only the relocation between different warehouses. In the case of a relocation within a warehouse, the reported quantity is either updated with the inventory order that executes the transfer posting from the storage location to the receipt of goods zone, or with the inventory order when an unstructured warehouse zone exists that is consistent with the entry in the inventory requisition line item.

The possible statuses of the inventory requisition line items are:

  • General status
  • Reservation status

General status

Below is a detailed description of the possible statuses:

In process – newly generated or entered inventory requisition line items receive the status In process if the opening status in the inventory requisition type used specifies this. The [Release] and [Release line items] actions change the status to Released.

Released – newly generated or entered inventory requisition line items receive the status Released if the opening status in the inventory requisition type used specifies this. Alternatively, the status is set using the [Release] and [Release line items] actions.

Completed – as soon as the quantity reported in inventory orders corresponds to the quantity of the inventory requisition line item, the inventory requisition line item receives the status Completed.

Manually completed – with the [Manually complete transport process] action, all line items whose quantities have not been completely transported are marked as Manually completed. This status is indicated by a blue frame around the status icon.

Reserved quantity not available – this status is set when the inventory count list item is closed if a warehouse zone or storage location is specified for the inventory requisition line item for which the quantity is reduced by the inventory to such an extent that the required quantity for the open processes and vouchers is no longer covered.
If an inventory order exists for an inventory requisition line item with this status, the system validates whether a sufficient quantity is available when the inventory order is confirmed. If the quantity is available, the status is canceled.
An inventory requisition line item with this status for which no inventory order exists can only be deleted.

Reservation status

If the Reservations function is activated in the Customizing application, the reservation status for inventory requisitions of the Withdrawal and Relocation categories is also displayed.

The following information can be provided in the tooltip for the reservation status:

  • Issue with the issue quantity
  • Reservation status
  • Planned receipt with receipt quantity

Below is a detailed description of the possible statuses:

No display – if reservations are not possible due to the specifications, e.g. for the entered warehouse or item, no status icon is displayed.

Not reserved – this status is displayed if the item can be reserved in the warehouse entered, but there is no reservable quantity.

Completely reserved – this status is displayed if the complete quantity of the inventory requisition line item could be reserved.

Partially reserved – this status is displayed if the quantity of the inventory requisition line item could only be partially reserved.

The following can also be displayed for this status:

Planned receipts – this additional icon is displayed if an issue is reserved with a planned receipt.

Customizing

The following functions are relevant for the Inventory requisitions application in the Customizing application:

Storage location control – this function must be active in order to be able to process inventory requisitions for storage locatin-managed warehouses and use storage units and loading units.

Identifiers – if this function is active, you can also use identifier-managed items. If this function is not active, the fields for entering identifiers are not visible.

Reservations – if this function is active, reservation data for all items and identifiers contained in the inventory requisition are generated upon saving of an inventory requisition. Furthermore, the field for displaying the reservation status for inventory requisitions of the Withdrawal and Relocation category is visible.
If this function is not active, issue reservations are generated only for identifier-managed items if the line item has an identifier specification.

Inventory management/Warehouse inventory – if the Manage inventory in logistics units parameter is activated, the field for defining the binding unit is also available in the line item editor.

Business entities

The following business entities are relevant for the Inventory requisitions application. They can be used, for example, in order to:

  • assign authorizations
  • set up activity definitions or
  • import or export data

Authorizations

Authorizations can be assigned by means of authorization roles as well as by assigning an organization. The  authorization concept is described in the technical documentation Authorizations.

Special capabilities

There are no special capabilities for the Inventory requisitions application.

Organization assignments

Organization structures are used to control which data is visible, usable or editable. To do this, the Content-related authorizations function must be activated in the Customizing application.

If the Content-based authorizations function is activated in the Customizing application, a person can only use the Inventory requisitions application if an organization that is linked to at least one of the following structures has been
assigned to him or her in the partner master data:

  • Inventory management

For a person to be able to query inventory requisitions, one of the organizations assigned to them must be entered in the Authorizations table in the Inventory order types application.
