To create an Intrastat declaration proposition, follow the steps below:
- Install a dedicated application Intrastat and restart the system if necessary
- After it is installed, activate it by selecting the Active parameter in the Customizing application → Intrastat and customize it for each organization respectively according to country specifics
- Create the Intrastat framework elements in relevant applications:
- codes necessary to classify products for international trading purposes needs to be defined in the Intrastat Classification Nomenclature (INC) application
- (air)ports for loading/unloading of partner’s traded goods needs to be defined in the Intrastat ports application
- transaction types need to be defined in the Intrastat natures of transaction application
- transport modes need to be created in the Intrastat transport modes application
- statistical methods need to be created in the Intrastat statistical methods application
- statistical procedures need to be created in the Intrastat statistical procedures application
- For items traded between EU countries, define the following in the Items application under the Intrastat section:
- Commodity code (mandatory field)
Note
If commodity code is not provided on item chart when running the Determine source data for Intrastat declaration propositions application, it is not included when creating an Intrastat declaration proposition.
- Country/Region of origin
- Special measure (mandatory field if a factor has been specified)
- Factor (mandatory field if a special measure has been specified)

The Intrastat section is available in the Base view upon selecting the Intrastat extension under the [Select and organize views] button.
- For partners who traded goods between the EU countries, verify the setting of the Excluded of intrastat parameter available in the Partners application. Selected parameter means that the partner is subject to the Intrastat procedure.

- In the Partners application, define the following:
- in the Intrastat data section:
- (Air)Port
- Nature of transaction (mandatory field)
- Transport mode (mandatory field)
- Statistical method
- Statistical procedure
- in the Service intrastat data section:
- Collection term
- Service providing terms
- in the Intrastat data section:

The Service intrastat data section become available after selecting the Include service parameter under Customizing application → Intrastat function.
- A new order is registered (e.g., sales order in the Sales orders application). To view the Intrastat data in the document, select Intrastat extension under the [Select and organize views] button. The additional Intrastat-related tabs will be activated in the document. The document must contain the data of the previously prepared item and the partner who will be trading goods between the EU countries.
Note
A document needs to have different dispatch and delivery countries in the EU specified to be classified to a declaration proposition.
Hint
A warehouse document or an invoice, which registers a warehouse movement, is sufficient for data to be retrieved into a document.
The document needs to be saved with the [Save] button on the standard toolbar upon completing first the required information.
- In the Sales orders application, select the Generate delivery orders with order reference and output delivery slips… action under the [Execute] button. A batch application window will open. In the Settings tab, select a processing queue (if the default one is not selected) and then select the [Output] button.
- Next, to create a declaration proposition, call up two batch applications in the following order:

The applications should not be run simultaneously or when the session of the first one has not completed.
- An Intrastat declaration proposition document is created in the Intrastat declaration propositions
- Next, you should verify the declaration, complete the missing information and save it. Finally, confirm the declaration by selecting the Set status to “Declared” action under the [Execute] button.
Note
The prepared declaration should be treated as a preposition and not a final document. It needs to be verified and completed with necessary data that has not been completed automatically: customs zones-related processes for instance. Such information should be added manually to the declaration.
- Next, you can generate a .csv file (using a country-specific software) that should be imported to an external program. To do so, in the Intrastat declaration propositions application, select the Output third-party software file option under the [Execute] button.
- The file will be saved in the system’s knowledge store. Such prepared file can next be loaded to the third-party software.
