Procedures: Partners, Customer view

Topic overview

This article describes the procedures for handling the Customer view in the Partners application. For instance, the procedures contain instructional steps for creating or editing a customer.

Create a new customer

Preconditions

In a multi-site or single-site environment with activated content-based authorizations, the selected organization must be a sales organization. Only the users assigned to the organization responsible for the partner can generate new partner roles.

Instructions

  1. Open the Partners application and switch to the Customer view
  2. Open the partner to be entered as a customer. If required, change the utilization status of the customer in the work pane under the Customer data tab. Available statuses include Released and Blocked.
  3. Select a customer classification in the Classification 1 field
  4. Select delivery terms in the Delivery terms field within the Delivery data section

If required, fill in the other fields with the desired data.

  1. Verify table settings using the [Validate] button or pressing the F2 key
  2. If required, it is possible to switch to the Base view and enter, e.g. communication connections data
Note
Required fields, e.g. in the Base view, are marked with red corner highlights. Frequently, the e-mail address, telefax, and telephone number entries are missing.
  1. Click the [Save] button in the standard toolbar.

Delete a customer

Customers are not deleted directly and must first be marked for deletion. Only those versions of the customer that have their entire validity period in the future can be deleted directly, since they have not been used yet.

Set a deletion flag for a customer

Preconditions

The customer has not been marked for deletion yet.

Instructions

  1. Open the Partners application and switch to the Customer view
  2. Open the customer to be marked for deletion
  3. In a multi-site environment, select the organization for which the partner is being edited
  4. Click [Mark for deletion] in the standard toolbar
Note
If a warning dialog window opens, it means that the operation affects other areas, e.g. several organization may be affected.

The [Unmark for deletion] action does not completely remove the deletion flag from all affected data.

Note
The warning dialog window opens also if the action affects other customers.
  1. Confirming the warning marks the customer for deletion and saves the customer data.
Note
The customer contains a deletion flag in all versions. If the active OLTP client is selected in a multi-site environment, the customer is marked for deletion within all organizations.

Remove a deletion flag for a customer

Preconditions

The customer has been marked for deletion.

Instructions

  1. Open the Partners application and switch to the Customer view
  2. Open the customer to be unmarked for deletion
  3. In a multi-site environment, select the organization for which the partner is being edited
  4. Click [Unmark for deletion] in the standard toolbar

The deletion tag will be removed from the customer.

Note
In a multi-site environment, even if the selected organization is an active OLTP client, the deletion flag is removed only for the selected organization.

Delete a customer version

Preconditions

A customer version exists that will be valid only in the future.

Instructions

  1. Open the Partners application and switch to the Customer view
  2. Open the customer whose version is to be deleted
  3. In a multi-site environment, select the organization for which the partner is being edited
  4. Using the [Next] and [Back] buttons, browse through the Valid from field and switch to a future version of the customer to be deleted
  5. Click the [Delete] button in the standard toolbar. The selected version of the customer will be deleted.
Note
By deleting a future version, the validity period of the previous version is correspondingly extended.

Create a new version of a customer

Preconditions

In order to generate a new version, it is important for the partner to be a customer. In a multi-site environment, the selected organization should be permitted to edit data.

Instructions

  1. Open the Partners application and switch to the Customer view
  2. Open the partner of which a new version is to be created
  3. In a multi-site environment, select the organization for which the partner is being edited
  4. Click [New version] in the standard toolbar. A new version of the customer will be generated.
  5. Enter a future date from which the customer will be valid in the Valid from field
  6. Click the [Save] button in the standard toolbar. The new version of the customer will be saved.

Change the utilization status of a customer

The user can change the utilization status of a customer by either releasing or blocking this customer.

Note
In a multi-site or single-site environment with activated content-based authorizations, a block set for the active OLTP client is valid for all organizations.

Instructions

  1. Open the Partners application and switch to the Customer view
  2. Open the customer whose utilization status is to be changed
  3. In a multi-site environment, select the organization for which the partner is being edited
  4. Change the value of the Customer Status field to Released or Blocked
  5. In the case of a block, enter a future date, until which the customer cannot be used, in the Blocked until field
  6. Click the [Save] button in the standard toolbar. The new utilization status of the customer will be saved.
Note
If a customer is blocked even though the utilization status is Released, please check whether the Accounts receivable parameter is selected in the Financials view of the assigned customer. The financials data of the firm responsible for the selected organization must be verified in a multi-site environment.

Accept customer data for selected organizations

Preconditions

This functionality is only available in a multi-site environment or if content-based authorizations are activated in a single-site environment.

Instructions

  1. Open the Partners application and switch to the Customer view
  2. Open the partner whose customer data is to be accepted
  3. Select the organization for which the customer is to be accepted
  4. Click [Accept data for the selected organization] in the standard toolbar
  5. Click the [Save] button in the standard toolbar. The customer data will be accepted for the selected organization.

Accept data processing for selected organizations

Preconditions

This functionality is only available in a multi-site environment. The selected organization must be permitted to edit its own master data.

Instructions

  1. Open the Partners application and switch to the Customer view
  2. Open the partner for which customer data processing is to be accepted
  3. Select the organization for which the customer is to be accepted
  4. Click [Accept data processing for the selected organization] in the standard toolbar

The customer data can now be processed within the selected organization.

  1. Change the data, if desired
  2. Click the [Save] button in the standard toolbar. The edited data will be saved.

Voucher document templates

The Voucher document templates table first displays the Customizing defaults. These defaults cannot be changed. Voucher document templates can be added for the combination of Voucher category and Medium if such a combination does not exist yet.

Voucher document templates can be removed, but only in the case of those templates whose data does not originate from Customizing.

Note
If a record has defaults from Customizing, the field Voucher category displays the tooltip Data origin: Configuration.

Change a voucher document template

  1. Select the record to be changed and change the desired field contents
  2. Click the [Save] button in the standard toolbar

If other records for the changed voucher category are displayed from Customizing, they are also saved automatically.

Enter a voucher document template

  1. To create a new template, click the [New] button in the standard toolbar of the table
  2. Select the voucher category, medium, and voucher document template in the appropriate fields. Select a recipient address and activate the Preferred parameter, if required.
  3. Click the [Save] button in the standard toolbar. The new voucher document template will be saved.
Note
The combination of a voucher category and medium must come only once in the table.

Delete a voucher document template

Preconditions

The partner has voucher document templates created by the user. Records with default values from Customizing cannot be deleted.

Instructions

  1. Select the row with voucher document template to be deleted
  2. Click the [Delete] button in the standard toolbar of the table. The row will be assigned the deletion flag.
  3. Click the [Save] button in the standard toolbar. The voucher document template will be deleted.
