Internal orders (IO) are used to order goods from the head office or another store. A created sales order is synchronized with the head office (or another store, if necessary). Orders are processed using warehouse movement documents that record movements of goods between warehouses.
At a point of sale, you can:
- create a new internal order
- track the status of an internal order
- automatically close internal orders after receiving and accepting associated warehouse movement documents
The internal order list is available under the [Back Office] → [Internal Orders] tile.
All IO documents created at a point of sale are listed there.
The listed internal orders may have the following statuses:
- Submitted
- Confirmed
- Canceled
- Closed
- Completed
- Pending
- Rejected
The list contains the following columns:
- Number
- Status
- Source Warehouse
- Target Warehouse
- Date of Issue
- Expected Date
- Associated Documents
- Document Attributes (hidden by default)
Buttons available on the list of created internal orders:
[Add] – adds a new IO document
[Print] – prints a document
[Preview] – previews a document
[Refresh] – refreshes the IO document list
[Associated Documents] – opens a window with the list of documents associated with a specific internal order
[Delete] – deletes a document created at a point of sale
Adding a new internal order
To add a new internal order (IO):
- select [Back Office] in the main menu
- select the [Add] button on the list with created internal orders
To create a new internal order, the following must be specified:
- target warehouse – warehouse tagged as source for IO
- source warehouse – POS warehouse of the store that is assigned to the document type IO
- list of ordered items and their quantities – items can be added by:
- scanning a UPC-13 code
- entering manually a UPC-13 code
- entering the item code in the search bar
- selecting an item from the item list
An internal order contains the following fields:
- Search item – searches for and adds an item into a document
- Handled By – employee issuing a document
- Item Handled By
- Item Details – presents detailed information about document item and changes its quantity
- Item list contains the following columns:
- Name
- Quantity
- No. (hidden by default)
- Code (hidden by default)
- Source Warehouse – a warehouse tagged as source for IO. Selecting this tile opens a window with available source warehouses.
- Target Warehouse – POS warehouse of a given store, which is assigned to the document type IO. Selecting this tile opens a window with available target warehouses.
Buttons available in a new internal order:
[Submit] – assigns the status Submitted to a document; document confirmation is part of the process carried by the source warehouse/center
[Park] – parks a document to continue it later
To generate an internal order, select the [Add] button on the internal order list. In the opened window, select the source warehouse from which to order the items. This is not the warehouse of this store.
After selecting the source warehouse, select the target POS store warehouse from the list.
Back in the order form, add the items to be ordered from the head office, for example, and then select [Submit].
The created document receives the status Submitted. In the Comarch ERP Enterprise system, the head office can decide whether to confirm or reject the order. When confirmed, its status is uploaded to the point of sale.
The order is processed by generating a warehouse movement document to it from the head office to the POS warehouse. The order does not have to be processed entirely right away. When processed partially, its status changes to Pending. Warehouse movements generated to internal orders are uploaded to POS along with the information on the IO documents to which they were generated. This information is presented in POS on the internal order list, in the column Associated Documents.
To accept the warehouse movement document, select the [Delivery Receipts] tile. Selecting the [Accept] button opens the warehouse movement document with the items uploaded from the head office. After counting and confirming all ordered items, the document receives the status Completed. A delivery receipt and a discrepancy report are then generated to the warehouse movement document.
